Rio Garden (“Rio Garden”, “we”, “us” or “our”) is a wedding and event venue located at 292018 Wagon Wheel Link, Calgary, AB T4A 0N1. This Privacy Policy explains what personal information we collect when you visit our website or contact us about an event, how we use it, and the choices you have.
We handle personal information in line with Canadian privacy law, including Alberta’s Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
02Information We Collect
Information you give us. When you fill in a tour or event inquiry form on our website, we collect:
- Your name, email address and phone number
- Your preferred event date, type of event and number of guests
- Anything else you choose to tell us in the message field
We also receive the information you share when you call, email or message us on WhatsApp or social media.
Information collected automatically. Like most websites, our hosting provider keeps basic technical logs (such as IP address, browser type and the pages requested) to keep the site secure and working properly. We do not use advertising trackers and we do not sell your information.
03How We Use Your Information
We use your personal information only to:
- Reply to your inquiry and arrange venue tours
- Check availability and send you pricing, floor plans and event details
- Plan, manage and deliver your event if you book with us
- Keep our website secure and prevent spam or misuse of our forms
- Meet our legal, accounting and tax obligations
We will only send you marketing messages if you have asked us to, and you can opt out at any time.
04How We Share Information
We do not sell, rent or trade your personal information. We only share it with trusted service providers who help us run our business, such as:
- Our website hosting provider
- Our email delivery provider, which sends your form inquiry to our team
- Google Analytics, which helps us understand website traffic and usage
- Google reCAPTCHA, which checks that form submissions come from a real person
- Event partners (for example caterers, decorators or entertainers) when needed to deliver an event you have booked
These providers may only use your information to provide services to us. Some of them may store information on servers outside of Canada, such as in the United States, where it may be subject to the laws of that country. We may also disclose information if required by law.
05Cookies
We use Google Analytics to understand how visitors find and use our website. It may use cookies and collect information such as pages visited, interactions, browser and device details. We use this information to improve the website. Your browser may also store small files needed for security or performance settings.
Our tour request form uses Google reCAPTCHA to block spam. reCAPTCHA may set its own cookies and collect information about your device and how you use the form. Its use is subject to the Google Privacy Policy and Terms of Service.
When you click a link to Google Maps, Instagram, Facebook or WhatsApp, you leave our website and that service’s own privacy policy and cookies apply.
06Data Retention & Security
We keep inquiry details only for as long as we need them to respond to you and plan your event, or as required by law (for example, for tax and accounting records). When information is no longer needed, we delete it or make it anonymous.
We use reasonable physical, technical and administrative safeguards to protect your information, including secure (HTTPS) connections and limited staff access. No method of transmission over the internet is completely secure, but we work hard to protect your data.

You can contact us at any time to:
- Ask what personal information we hold about you
- Correct information that is wrong or out of date
- Withdraw your consent or ask us to delete your information, subject to any legal requirements
- Stop receiving marketing messages from us
We will respond within the time required by law. If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta.
08Children's Privacy
Our website is meant for adults planning events. We do not knowingly collect personal information from children under 13. If you believe a child has sent us their information, please contact us and we will delete it.
